Digitizing manual processes: what pays off gets automated.
What runs on paper, in Excel lists or via email ping-pong today goes digital: enter data once instead of typing it three times, reports at the push of a button, interfaces instead of copy-paste. Where it pays off, that becomes a custom web application shaped around the way you work, not the other way round.
Honesty first
Not every paper process has to go. Some workflows are faster, more robust or legally simpler on paper, and stay that way. Digitization is a means, not an end.
I look first at where the real pain sits: Where is data entered twice? Where do errors come from retyping? Where is someone waiting for information that already exists elsewhere? That's where we start, not with whatever demos best.
Typical automations
What regularly pays off in practice.
- Capture maintenance and inspection reports directly on the machine, instead of retyping them at the office in the evening.
- Quotes and orders from a single source, with no copying between Word, Excel and accounting.
- Delivery notes, invoices and receipts captured by scan with automatic data transfer.
- Forms for patients, customers or employees: filled out digitally, filed directly in the right system.
- Calendar, orders and time tracking in one flow, instead of three tools that know nothing about each other.
- Interfaces to accounting, inventory management and existing systems, instead of Excel export and import.
How I find out what's worth it
In the analysis phase I walk through the three to five processes that eat the most time or fail most often. At the end there is a short recommendation: What first? What later? What not at all?
AI is used where it measurably helps, for example document recognition, text classification or suggestions for the case handler. Where rules, forms and conventional software are more reliable, they stay. No buzzword bingo.
Data protection
Hosting in the EU, GDPR-compliant processing, documented data processing agreements. For AI components it is explicitly defined which data may leave the premises and which may not. When in doubt, personal data stays where it belongs: with you.
